KAZAR™ is seeking a proactive and experienced professional to join our team as a Senior Associate, Business Operations and Project Support. This role is central to driving program coordination, task management, governance support, and stakeholder engagement, ensuring seamless project execution across complex Defence environments.
Role Overview
As a key team member, you will play a critical coordination role, ensuring the smooth flow of information, actions, and deliverables across multiple stakeholders and work areas. You will oversee the coordination and tracking of program tasks, stakeholder actions, governance deliverables, and reporting deadlines.
You will be responsible for centralising communication channels, including managing the program’s shared project mailbox, allocating incoming tasks, monitoring progress, and ensuring timely responses and action closure. You will apply initiative and sound judgment to manage workflows, implement best practice, and engage with stakeholders to drive successful outcomes.
Key Responsibilities
- Lead the coordination and management of program activities, tasks, and stakeholder deliverables, ensuring clear accountability and timely execution.
- Oversee and action incoming requests via the program’s shared project mailbox, ensuring prompt allocation, tracking, and resolution.
- Maintain and manage program task registers and action logs, providing regular updates to project leadership on task status and outstanding actions.
- Facilitate effective communication flow across project teams, Defence stakeholders, and delivery partners by coordinating meeting schedules, briefings, and follow-ups.
- Provide expert advice on governance, compliance, and risk management activities.
- Support program scheduling, reporting, and performance tracking across the Capability Life Cycle (CLC).
- Develop and maintain governance documentation, risk registers, decision logs, stakeholder engagement plans, and project control reports.
- Coordinate stakeholder engagement activities including issue resolution, briefing coordination, and stakeholder action tracking.
- Lead administrative and business support functions including workforce administration, onboarding, ICT access, and security compliance.
- Manage Defence information and data systems (e.g., Objective), ensuring accuracy and compliance.
- Facilitate audit preparation, compliance reporting, and internal assurance processes.
- Oversee procurement, travel coordination, financial administration, and WHS compliance across the program.
Requirements
- AGSVA security clearance (NV1 minimum).
- Demonstrated experience in business operations and program coordination support within Defence or government projects.
- Proven ability to manage, track, and drive closure of tasks and actions across multiple stakeholders and work areas.
- Strong organisational and communication skills with experience managing complex workflows and stakeholder follow-ups.
- Familiarity with Defence administrative systems, governance frameworks, and project control processes.
- Excellent stakeholder engagement and relationship management skills.
Highly Desirable
- Experience working within Defence capability delivery, program governance, or operational support roles.
- Understanding of the Defence Capability Life Cycle (CLC) and Defence project governance structures.
- Experience in stakeholder coordination, ICT access management, procurement, or compliance within Defence programs.
- Familiarity with Defence Voice/Data communications projects.
